FedEx Kinko’s Regional Leadership Conference
Four thousand people aren’t easy to move around, let alone train on the latest business strategies. FedEx Kinko’s had just that problem and needed to get every regional manager in the company up to speed.
Vision brought their training to life by creating a stage design that helped facilitate learning with a bang (and a crash and boom for good measure). Each show started with an amazing entrance by the CEO. Music played, video rolled, lights flashed, pyro exploded and the CEO, driving the actual FedEx NASCAR, crashed through the back stage wall and onto the stage.
This dynamic kickoff was preformed four times as waves of one thousand people each converged on the Bellagio in Las Vegas to see and hear the latest and greatest from company executives.
But, an event of this scope is more than just the excitement of an opening general session. Our challenge was to maintain the same level of quality and attention to detail in all aspects of the event, requiring months of detailed planning and unparallel energy and dedication from the onsite team.
Vision provided full service logistics event management:
Venue: Site inspections, site selection, contract negotiation, contract management, space allocation
Budget: Development, management, reconciliation
Room Block Management: 4000 attendees, 12,000 room nights, rooming list management, VIP concierge services
Production: General session, breakouts, speaker management, video, evening parties, entertainment
Logistics Management: Venue space allocation, diagrams, fire marshal approval, insurance, security, event flow onsite communications. Registration pre-event and onsite. Vendor management. Food and Beverage management and BEO’s. Branding and signage design, printing, distribution and setup. Transportation to and from airport and to off-site venues for attendees. VIP transfers. Procurement of all supplies.
Staffing: Vision pre-event 10 and onsite team 18. Ten vendors with headcount of 30.
